Donor Engagement & Correspondence Coordinator
(Contract – 14 months with the possibility of extension)

Role

Reporting to the Donor Engagement Specialist, this role is a key contributor to the overall donor engagement experience and helps to foster and strengthen long-term donor relationships.

The Coordinator is the organization’s first point of contact for donors, stakeholders, and the public.  This role will focus on enhancing the donor experience through excellent customer service, drafting meaningful donor correspondence, and supporting the development and implementation of donor engagement initiatives.

 

Responsibilities

Donor Correspondence

  • Create unique and inspiring content for donor correspondence such as letters, notes, or cards
  • Maintain consistent messaging and formatting throughout correspondence ensuring professional and impactful communications
  • Maintain knowledge and expertise in sharing a powerful story and stay current with trends and best practices as it relates to donor stewardship
  • Attend interviews/presentations when relevant to donor correspondence
  • Receive and review approved accountability reporting from recipients of funding for use in donor communications
  • Compile content from donor files when necessary
  • Comply with letter process and receipting standards (3 days)
  • Maintain a tracking document of letters produced and related timelines
  • Write professional letters for a variety of team members
  • Update and routinely maintain a letter library of effective donor-related letters

Donor Engagement

  • Professionally represent as the first point of contact for stakeholders at the Walter Mackenzie Centre, UHF Office
    • Manage the main phone line
    • Monitor and manage the central UHF email distribution
    • Accept donations over email/phone/on site
    • Data entry into Raiser’s Edge donor database
  • Participate in, and help to evolve, the identification, development and delivery of key fundraising and stewardship events
  • In partnership with the Donor Engagement Specialist, support the development, execution, and evaluation of a creative framework for donor engagement and stewardship
  • Coordinate the approach to overall donor engagement and stewardship across teams
  • Coordinate information tracking processes regarding acknowledgement, recognition, on-going communication and continued cultivation of past and current supporters

  • Align with the Foundations values, and guide decisions and actions accordingly
  • Always reflect the Foundation’s core and leadership competencies in all areas of business

 

 

Qualifications

  • 3-5 years of experience in a similar role
  • Undergraduate degree, diploma or other certification in Marketing & Communications, Writing or related field

  • Strong competence in Microsoft Office Suite and Adobe Acrobat
  • Comfortable learning and working with new technologies to drive success and efficiencies
  • Strong organizational skills to achieve process efficiencies
  • Commitment to confidentiality and ability to communicate in a professional manner
  • Exceptional attention to detail with an extraordinary level of accuracy
  • Flexibility in a high paced environment with a large variety of tasks and projects
  • Ability to exercise discretion and good judgment in representing the Foundation
